Why am I being charged for printing?
Effective March 27, 2000, computer lab users are being charged for printing in open access labs to reduce waste and recover the high cost of printing including paper, toner, hardware, software, and labor. These costs were previously subsidized by various departments. This improved printing service will replace older technology printers with high speed, high quality, lower cost laser printers. Studies have shown that printing with high quality laser equipment is cheaper than using the current older technology in the labs. Money saved in departmental budgets will be used to benefit students in other ways.

What is a PolyCard?
A PolyCard (formerly One Card) is a valid student, faculty or staff Campus ID card properly encoded with identifying information to allow the cardholder to use or access specific services on campus.

Where does my money go?
The money goes to fully recover the cost of printing.

What is the Campus Express Club?
Campus Express Club is a debit/credit system that allows you to use your PolyCard (Campus ID) to access services on the campus such as meals, laser printing, and more. See the Campus Express Club web page for more information.

What does encoded mean?
Encoded means that the magnetic strip on your PolyCard has been embedded with information to identify you as the authorized user of that particular card. If you have, or have had, a Meal Plan or Campus Express Club, your card should work fine. If your card is not encoded, bring it to the Customer Service office.

Does the magnetic strip on my card include the balance of my account (dollar amount)?
No. Your account balance is stored in a database that is accessed when you use your PolyCard.

Do students pay for printing on other campuses?
Yes. Examples: Chico State, San Marcos, Fullerton, UCSB, etc.

What is the cost of printing?
Print charges are 10 cents per page for black and white printing, and 20 cents for color printing.

Where can I print?
Open access labs in the Library, College of Business, College of Agriculture, Liberal Arts, PE, and AWL are available for students to use for printing with their PolyCard. Students should be sure to check to see what times the labs are open and available for printing. Click here to view lab hours.

Where can I print in color?
Color printing is available in the College of Business lab and the Engineering East CAD lab (20-26).

Will the prices change?
Current data indicates that printing costs 11.19 cents per page. ITS is currently subsidizing 1.19 cents per page to reduce the cost from 11.19 cents to 10 cents per page. The PolyCard Printing System will better enable ITS to calculate the true cost of printing. Once the actual printing costs are known and the subsidy ends, there may be changes to the cost per page.

How do I print?
Submit your print job as you normally do, proceed to the print station and follow step-by-step instructions above the print station monitor. Be sure to read the system messages as you swipe your PolyCard. Also, Exit the system, so that no one else can use your card. Always remember to take your PolyCard with you when you leave the lab.

Do I have to join the Campus Express Club?
No. All PolyCards come with a Campus Express Club account, however, you will need to add value to your account before you can print.

How do I add value to my Campus Express Club?
To add value (dollars) to your Campus Express Club, you may:

  • Call 756-5939 if you have a Visa, MasterCard, or Discover card.
  • Go to any conveniently located Campus Express Club deposit station.
  • Visit Customer Service at the Light House Atrium (Building 19). For hours of operation and location see the Customer Service page. For more information on the Campus Express Club see the Campus Express Club web page.

Do I need to specify printing credits on my Campus Express Club?
No. Campus Express Club value can be used for printing, meals, vending and other services on campus. For more information on the Campus Express Club, see the Campus Express Club web page.

Can I use my PolyCard (Campus ID) for more things?
Yes. See Using the Card and the Campus Express Club web page.

What if I don't have a PolyCard (Campus ID)?

What if my PolyCard (Campus ID) doesn't work?
Your PolyCard should work if it is properly encoded. It should be encoded with your identifying information if you have, or have had, Campus Express Club or a Meal Plan. If for some reason your card is not working because is has been damaged, demagnetized or needs encoding, you will need to visit Customer Service at the Light House Atrium, Building 19.

What are the PolyCard Customer Service hours?

What if the printer jams or the print quality is poor?
If you are in lab and there is a lab monitor present, you should contact the lab monitor for assistance and help in resubmitting your print job and getting a credit. If there is not a lab monitor present, complete a Request for Laser Printing Credit form located in the lab. Include the date, time and amount of the credit you are requesting. Return the form according to the instructions posted in the lab.

When can I request a print credit refund?
You can request a print credit refund if the toner is low, there are streaks or marks on the paper, a paper jam occurs, or the page did not print completely. You cannot request a refund for non-printer errors, such as spelling mistakes, etc.

What if there is no lab monitor present and I am having trouble printing?
If the trouble is with the workstation, try another workstation. If you are still having problems printing or there appear to be problems with the printer or network/server, call the Help Desk at 756-7000 to report the problem.

What if I sent a print job for six pages and the print display shows 20 pages?
Before printing, make certain you review the print display for your job, the number of pages and total charges. If the display is not correct, you should check with the lab monitor. You can delete the job if it not correct.

How long will my print job remain in the print queue?
Sixty minutes. After 60 minutes you will need to resubmit the job.

How can I delete my print job?
Follow the step-by-step instructions posted above the print station in the lab. The instructions tell you how to delete a print job. After 60 minutes the job will be deleted from the print queue automatically.

What if the printer is not working?
Check with the lab monitor. If there is no lab monitor, call 756-7000 to report the problem.

What happens if I forget to Exit from the print station?
There is a 20 second time-out before you are logged out of the system if you forget to press the Exit button. If someone is quick enough and there are enough credits in your account, they will be able to print from your account. You will be responsible for the charges. Be sure to press the Exit button once you have completed your printing. Always remember to take your PolyCard with you when you leave the lab.

What if my PolyCard (Campus ID) is lost or stolen?
You should report a lost or stolen PolyCard immediately by calling 756-5939 or 756-2614. Your card will be deactivated immediately. Until you call to deactivate your account, you will be responsible for the charges. See Replacement IDs for information on obtaining a replacement PolyCard

What if someone unauthorized uses my card?
Call 756-5939 or 756-2614 to report the incident.

What if I find someone's PolyCard?
You should return lost cards to Customer Service at the Light House Atrium (Building 19).

If I add value to my Campus Express Club and then leave school, can I get a refund on unused balance?
Yes. There is a $10.00 closing fee. It takes approximately two weeks for you to receive your refund in the mail.

As a staff member, do I need to pay for prints as part of my continuing education?
Yes if you are printing in an open access lab.

Can I print transparencies in the PolyCard laser printers?
No.

Can I print specialized card stock in PolyCard laser printers?
No.

Can I use my own paper?
No. Different paper could cause a paper jam.

Can I print envelopes or labels?
No.

If I'm in a class that already has a lab fee, do I still need to pay for prints required for homework assignments?
Yes if you are printing in an open access lab.

How frequently will the printers be upgraded in the PolyCard program?
Every three years.

When swiping my PolyCard, is personal data transmitted through the campus network in a secure manner?
Yes. The data is encrypted. No account balance is transmitted.

Can I use my print credits for other items such as food?
No. The 10 free prints must be used for printing.

My card has Campus Express and I use it for food, can printing be taken off my food credits?
Campus Express with the exception of Meal Plans and the 10 free print credits can be used for printing.
